Reservation Process

 

1) Reservation requests are considered beginning October 1 of the preceding year.

  • For example, reservations for the summer of 2020 will be considered after October 1, 2019.

2) Requests for reservations may be made by:

  • Leaving a telephone message at 406.227.9206 on or after October 1, or,
  • Sending an e-mail request to SunshineCamp@HelenaLions.org on or after October 1.

3) All received reservation requests will be considered. Reservations are NOT granted on a first come basis. The nature of the request is compared to the mission and goals of Helena Lions Sunshine Camp and other factors are considered. By approximately October 10th the all-volunteer Helena Lions Sunshine Camp Committee will begin contacting requestors to offer camp reservations.

  • When making your request it is important to provide a 1st and 2nd choice of dates to allow us to better accommodate all campers. Include check-in and check-out dates.
  • Camp stays are limited to seven (7) days.

4) Once a camp date is offered you will have ten (10) days to submit a NON-REFUNDABLE deposit of $250. If a deposit is not received, these dates may be offered to other campers.

  • This deposit is banked.
  • This deposit will be applied to your Camp charges only if there are no damages or undue expenses resultant from your use of Helena Lions Sunshine Camp. In the event of damages or undue expenses additional fees will be charged as necessary.
  • Example of undue expenses include: if your group arrives at the Camp prior to your check-in time; or departs after your check-out time; or fails to return the Camp keys and Camp materials within 48-hours of your check-out time; or damages; or mis-placed or lost Camp items; or not completing ALL tasks indicated on the Check-Out form; or cleaning. Additional fees will be charged as necessary.

5) A form will be provided to you explaining basic Camp policies and requesting a Group Coordinator be identified for your camp stay. This individual will be the point of contact and responsible individual for your group. This form must be completed and returned. Reservations may not be honored without this form being completed and returned.

6) If for ANY reason your group must cancel their reservation please contact us as soon as possible. Your soonest notification allows the possibility of another group utilizing the dates. This is a difficult process since most groups plan their adventure in October. Your deposit is non-refundable.

7) One week prior to your check-in date your Group Coordinator should contact Helena Lions Sunshine Camp Committee to arrange for their picking up Camp keys and Check-in / Check-out materials. (Contact information will be provided.)

  • These materials will be collected in person from a Camp representative, typically at their home or business. It is important to make arrangements 4-7 days in advance.
  • Your Group Coordinator should also make arrangements to return the Camp keys and materials in person within 48-hours of your check-out time.

8) On the date of your reservation, having previously collected all check-in materials, your group may enter Helena Lions Sunshine Camp after 1:00pm.

9) On the final date of your reservation your group must vacate Helena Lions Sunshine Camp no later than 12-noon.

10) Within 48-hours of your check-out time your Group Coordinator must return the Camp keys and materials in person as previously arranged. No payments are due at this time.

11) Helena Lions Sunshine Camp Committee will calculate charges for your camp experience. An invoice for payment will be sent.Your group agrees to pay any invoice within thirty (30) days. Late Payment Penalties may be applied after 30 days.
